Reservation Policies

Check in time is after 3 p.m. and check out time before 11 a.m. All rates are subject to change without notice. All rates are stated in US dollars and are subject to a 12% sales tax and 10% service charge.

Reservations are not final until the Windsong Reservation Department issues a confirmation via e-mail.

For standard reservations, a 3 night deposit is required at the time of booking to secure a reservation and is refundable (less a 5% credit card transaction value) providing written cancellation is received and confirmed by Windsong Resort at least 21 days prior to scheduled arrival date. Thereafter, the deposit is forfeited to cover any cancelled or altered night(s) of a confirmed reservation including early departure. Early departures do not receive a refund of unused stay. No-shows will be subjected to 100% penalty of the full stay.

For non-refundable reservations, full prepayment is due at the time of booking. Reservation is non-refundable but may be changed once, if the change is confirmed by Windsong at least 21 days prior to arrival, to an alternate date within 12 months at the then current rate for that date with a change fee of $100. Any balance due associated with a change will be payable at the time of the reservation modification.

For reservations over the Christmas/New Years holiday period, a minimum stay of seven nights is required and a 50% deposit is taken at the time of booking with the balance of the reservation amount taken 90 days prior to arrival. The initial deposit is refundable (less a 5% credit card transaction value) providing written cancellation is received and confirmed by Windsong Resort no later than 90 days prior to arrival. Cancellations or changes are not accepted within 90 days prior to arrival and will be subject to a 100% cancellation charge (entire value of the booking) and no refunds will be given for any unused portion of the reservation. No-shows will be subjected to 100% penalty of the full stay.

Please note that we recommend the purchase of cancellation/travel insurance especially during peak season. The cancellation policy is applicable to weather and airline related cancellations.

Age Requirement Policy: Guests must be 21 years or older to reserve a room. A maximum of two children 12 or under stay free of charge when sharing a suite with an adult paying the full suite rate. Cribs are complimentary.

2 Bedroom Penthouse Suites: Up to 4 persons

3 Bedroom Penthouse Suites: Up to 6 persons

4 Bedroom Penthouse Suites: Up to 8 persons

Windsong Villa: Up to 4 persons

Occupancy exceeding the above will incur a $ 75 per person per night charge. A maximum of one extra bed is allowed in select rooms for a fee.

Pet Policy: Pets are not permitted in the Windsong Resort. Service animals are permitted in the resort guest rooms and restaurants. Satisfactory documentation is required for service animals prior to check-in.

Smoking Policy: The Windsong Resort is 100% non-smoking Under the Turks and Caicos Tobacco Ordinance, smoking is prohibited. A $250 cleaning fee will be charged for smoking in the guest rooms.

Payment Policy: MasterCard, Visa, and American Express are accepted at the Windsong Resort. Personal checks are accepted by prior arrangement and approval only. The balance of room charges are due upon arrival. Debit and Credit cards will be authorized at check-in for the amount of your stay, plus an amount to cover incidentals. The authorization will hold the funds until check out, at which time the amount actually incurred during the stay will be charged. Authorized amounts may take up to 10 days after departure to be released by your bank or financial institution and the hotel will not be responsible for any resulting fees or charges.

Hurricane Policy

The Windsong Resort understands that severe weather events may cause our guests to consider changing their travel plans. With this in mind, we offer our guests the following Hurricane Policy valid from June 1 through November 30. This policy applies only to rooms that are reserved directly with Windsong. If your reservation is made through a travel agent or travel wholesaler, please refer to the policy advised by that company.

In the event there is a Hurricane Warning for the Turks and Caicos Islands for a Category 1 or higher (as defined by the U.S. National Weather Service) within the dates of your reservation, Windsong Resort will offer you the following options:

On Property Guests: Windsong Resort will charge guests only for the nights actually stayed at the hotel to those guests that either choose to leave early or are asked to leave by the hotel or the local civil protection authorities. In these cases credit vouchers will be issued for the unused nights, to be used for a future date, or a full refund will be given.

Arriving Guests: If you cancel your entire stay prior to arrival, Windsong Resort will waive any cancellation and/or “no show” charges for any reservations cancelled as a result of any actual Hurricane threat. A credit voucher will be issued for the prepaid amount or a full refund will be given.

If you wish to postpone your travel, and cancel your existing reservations prior to arrival and book your return travel within 14 days of cancellation directly with Windsong, Windsong Resort will guarantee the paid room rate for the original nights and number of guests booked for a single future reservation with travel completed prior to December 18th; subject to availability. Any additional nights or guests will be charged at the prevailing rate. If the postponed reservation is for fewer nights than the original reservation, Windsong will issue a credit for the unused dollar value, valid for the next 12 months. Refunds will not be given on any unused credits and the replacement reservation must be in the same name(s) as the original reservation.
